3 Ways to Help Your Business Operate More Efficiently

It’s easy to get into the daily grind of business operations and get caught up with what you need to deal with right now instead of spending time looking at the big picture. The problem with being reactive in your business is that you can’t strategize, think long term, or make decisions in the best interest of your business. So with all that being said, here are 3 ways you can help your business operate more efficiently and succeed in 2025!

Break Down Your Business & Optimize

You own the business. You know what your product or service is. You know how much money your company makes. But how does your business actually run? What do your employees do on the day to day? What marketing goes out for your company? How does your staff talk to your customers?

If you don’t know the answers to these questions, it’s probably a good idea to do a full overview of your company’s operations so you know what’s going on and then you can figure out how to optimize and improve how your company operates.

Here’s a framework you can use to document your business operations and then ask some key questions about what your team is doing well and what needs to change.

Processes

What processes does your business have? Break down which of them you have for your customers, for your employees, for your managers, and company ownership.

Which of these processes could be more streamlined with automation, software, or other technology?

What areas of your business don’t have a documented process in place that could benefit from 

Ongoing Review

How often do you take a step back to evaluate what your business is doing? Daily? Weekly? Monthly? Once a year? Once a day might be overkill depending on what industry you’re in, but touching base with your key team members once a week to focus on how you can all better operate the company can help you focus on managing the actual business and not just acting like an employee.

What areas of your business need to be reviewed at the end of each day? Each week? Each month? End of year review?

Improve Communication

Most businesses succeed or fail on the basis of how well their employees communicate with their customers and subsequently how well those same employees communicate with company managers and owners. So how can your business succeed when it comes to communication?

Create an Open Communication Environment

This can be easier said than done. But if you hire the right people to begin with and you trust their expertise, you shouldn’t have to worry about walking on eggshells if you ask your employees direct questions and sincerely value their feedback. Be intentional about the questions you ask and be ready to change your processes or service based on the feedback you receive. Part of being a great manager is to identify what kinds of feedback are one-off instances and what remarks from your employees are part of a broader pattern that you need to manage.

Make Communicating with Team Members Easy (from a technology and timing standpoint)

How can your team members currently give you feedback? Hallway conversations? Email? A company feedback form? Depending on the industry you’re in and the type of company you run, you may want an official feedback process. Or maybe more informal methods of communication are better because of your team’s dynamic. The method of receiving feedback is less important than whether or not you have a company-wide standard for how employees can let you know what they like and what might need to change based on what they see when they’re working or interacting with customers.

Streamline Access to Important Information

How can employees access important information when they need it? Does your company have a shared drive with all information clearly organized so it’s easy for them to access? Is this information digitized or is it only on paper? Maybe an ever better question…is all important company information documented in a physical or digital format at all?

Make sure that all of your important information isn’t stored away in the heads of your team members. And even if it takes them away from their daily tasks for a day or two, schedule time with them to make sure that you identify which important processes have not been documented for their specific responsibilities and give them an appropriate amount of time to document and upload these to company shared drives with physical backups kept in a safe location.

Build on Employee Skill-sets

If your company is not actively training and developing your employees, it’s very difficult for your team to improve as they spend more time with your organization. Identify what training and development opportunities already exist within your organization, find what new opportunities there are, and also review what behaviors need to be trained out of your team members. Not all activity is good activity.

Delegate Tasks to Cross-Train Your Employees

What happens when one of your key team members is sick? Is someone else able to step up and take over for them? Or is your team left high and dry because you don’t have the resources or trained employees to cover for them. During slow times for your business, have your team members show each other how they perform each of their assigned responsibilities, so even if they can’t perform at the same level they can still pitch in and make sure those responsibilities are still carried out when your employees take time off or leave the organization at some point.

Reward High Performers

The best way you can motivate your employees is to show that you reward the ones that take initiative and provide value to the company. Find the employees that are going above and beyond and give them promotions, bonuses, raises, and recognition as appropriate. Just make sure that you are rewarding your team fairly. There’s nothing that kills team dynamics faster than favoritism and corporate politics.
